Cancellations

When booking an appointment, you are agreeing to the Cancellation Policy at your own risk of unanticipated circumstances and/or change of mind.

A reminder text and/or email will be sent to you 26 hours ahead of your appointment by Treatwell – providing you with more than 24 hours to make any amendments necessary.

You may cancel, reschedule or amend your appointment at any time but cancelling or rescheduling with less 48 hours notice requires 50% of your service(s) cost to be paid immediately.

Less than 24 hours notice to cancel or reschedule a full payment of the service(s) cost to be paid immediately. No-shows will also incur the full payment of the entire service(s) cost to be pain immediately. Hex Nails reserves the right to collect all payments due via the booking system, Treatwell without pre-warning to the client.

Lateness

When booking an appointment, you are agreeing to the Lateness Policy at your own risk of unanticipated circumstances.

If you are more than 10% of your service(s) time or a maximum of 15 minutes late, whichever is greater you agree to Hex Nails using their discretion to either:

  1. Amend to a lesser service whilst charging the full amount for the booked service(s); or
  2. Cancellation of your booked service(s) and the full amount for the booked service(s) being immediately due.

Please be aware my diary is usually booked between 1 to 3 months in advance and it may not be possible to accommodate you during that period.

Change of Mind

You may change your mind as to which service(s) you require, but any changes with less than 48 hours notice will still incur the full payment for originally booked service(s).

Refusal of Service

Hex Nails reserves the right to refuse a booking or appointment for any reason such as; frequent lateness, failure to follow aftercare instructions, failure to comply with the policies listed. Inappropriate, unkind behaviour and comments with regards to but not exclusive to race, sexuality, gender and religion will not be tolerated and at the discretion of Hex Nails, your service(s) may not be completed and you may be asked to leave the premises. In this unlikely event, full payment for the booked service(s) would still be immediately due and may be taken via the booking system without prior warning.

Booking

Appointments can be made using Treatwell, accessible via Hex Nail’s social media pages and website (hexnails.co.uk).  The online diary opens 3 months in advance to the day, if there are no available appointments, please add your details to the Waitlist to be notified by email and/or text if a suitable appointment becomes available.  Please note due to the nature of cancellations, notification of availability might come at short notice.

Personal Details

Please ensure your contact details are correct and kept up to date. Hex Nails will not be held responsible for loss of correspondence.

GDPR

Hex Nails needs to collect personal information about your general health and any known medical conditions, medication or allergies in order to provide you with the best care during your service(s). You may refuse to provide this information however in doing so I may not be able to carry out the service, contact you to confirm, reschedule, cancel, amend or remind you about future appointments.

Provided you have given consent, you may be contacted for marketing purposes. You may withdraw this consent at any time.

Hex Nails has a legal obligation to retain your record indefinitely in order to provide you with the best possible service and for future reference.

Treatwell, the online booking system securely stores your full name, telephone number, email address, appointment details, payment card details and medical/health information. Treatwell has given their assurances that they are fully compliant with the GDPR.  In accordance with GDPR requirements access to this data is password protected.

Your data will not be shared unless you have given written consent for the specific purpose that it is to be shared for.

Photography

Hex Nails may request to take pictures and videos before, during and/or after your treatment for marketing purposes. These may be posted on the website and/or Social Media pages. You may withdraw consent at any time by email or in person.

Children, Guests and Pets

No children are permitted at your appointment for health and safety and insurance reasons as the products and equipment I use are both expensive and dangerous.

Where absolutely necessary, you can bring a maximum of one guest as long as they do not disrupt the service(s) and follow salon policies. Hex Nails reserves the right to refuse service and take full payment for the booked service(s) per Refusal of Service policy should they disrupt the service(s).

Hex Nails is a dog friendly space and welcomes well behaved dogs.  Please get permission to bring your dog along before each appointment as sometimes there can be other dogs in the space which can negatively impact on your service(s).  Hex Nails reserves the right to refuse service and take full payment for the booked service(s) per Refusal of Service policy should you have not obtained prior permission or if your dog disrupts the service(s).

Gift Vouchers

Gift Vouchers are available to purchase for any value, are valid for 1 year from date of purchase and are non-refundable or exchangeable for cash.

Expired Gift Vouchers may be redeemed at the discretion of Hex Nails for a discretionary surcharge.

Payment

Payment for service(s) must be made no later than immediately after your service(s).  Failure to do so will result in Hex Nails removing the work and potentially reporting you to the police for theft. Hex Nails accepts prepaid Hex Nails Gift Vouchers, Card (including American Express), Cash, Bank Transfers and Apple/Google Pay
